When appropriate, we use a web-based project management tool to streamline communication and coordination, especially when our work requires collaboration among multiple parties. This tool is a simple user-friendly website that acts as a secure central location for information associated with our work.
Online Coordination and Support
Depending on the circumstances and scope of work, it is often advantageous to give selected individuals round-the-clock access to centralized information related to the work we are doing together. Easy access to centralized information is particularly helpful when our interface involves multiple parties, including those who may be outside the client's organization.
Authorized individuals can access project task lists, shared documents and files, announcements, project calendar items, and other pertinent information. Furthermore, the site automatically notifies by email all interested parties of any added
or modified information of importance. This is especially helpful between meetings and when people are geographically separated.
To gain access, individuals need only an internet connection, a standard browser, and a password. Once they are signed on, individuals may:
- print project reports
- upload, review, and download files
- comment on tasks and files
- update project status information
- view and make comments
- mark assigned tasks as completed
- assign and modify tasks
- collaboratively write documents
Project Report —The thumbnail picture appearing above, though intentionally illegible here, represents the kind of information that is available on the coordination website. On this particular screen, tasks are listed along with target dates, persons responsible, descriptions, and completion status. As tasks are completed, they are checked off by the person responsible and added to a completed tasks list. Reports can be viewed online, or downloaded and printed.
